Stock problems owners see too late
The cost is not a missing spreadsheet cell. It is an empty shelf mid-rush and a manager guessing what to order.
“We are opening a second counter and the menu is still in a spreadsheet.”
Import the file under Items, preview the rows, then confirm. Matching codes update existing products; new codes create them. Add location and quantity columns if you want starting stock in the same upload.
“We need stickers for grab-and-go without buying a separate label app.”
Set a barcode (or use SKU), then Print label from Items. Use Browser for a sheet on any printer, or Terminal to send sticky labels to a POS with a paired label printer.
“We sell a lunch special but stock still shows full burgers and fries after a busy day.”
Edit the lunch special, add burger, fries, and drink under Bundle components, and turn Track stock off on the combo. Each sale pulls those parts from the location that took the order.
“The supplier invoice never matches what we thought we ordered.”
Open a vendor bill from the purchase order, adjust the lines, and record what you paid so your books match the supplier invoice.
“The counter ran out of syrup but the storeroom still has cases.”
Create a transfer from the storeroom, ship what left, and receive it at the counter so both counts stay accurate.
“We only notice missing stock after a bad Saturday.”
Scheduled counts, variance alerts, and depletion forecasts surface gaps while you can still order. Not after the rush empties the shelf.
How inventory stays honest
- 01
Load your products
Import from a spreadsheet or add items by hand, set barcodes and combo parts where you need them, then keep the catalog as the source of truth for POS, boards, and billing.
- 02
Order, check in, or move stock
Buy from suppliers, receive deliveries, or transfer stock between your own locations.
- 03
Count, alert, and forecast
Run count sessions on a schedule, review variance, and let forecasts refresh from recent sales.
Import your catalog and starting counts from CSV or Excel. Preview first, then save
Product photos polished for catalog, POS tiles, and display boards. Background removal on Sailor and above
Barcodes on items for scan-to-sell, plus browser or specialty sticky-label printing
Combos and kits that sell as one item and pull stock from the parts inside
Categories, modifiers, tags, and per-location stock sheets with optional price overrides
Supplier contacts with the prices you pay, purchase orders, and check-in when deliveries arrive
Vendor bills from purchase orders so what you owe matches what arrived
Move stock between storerooms or locations, then check it in when it arrives
Scheduled count sessions with snapshots, variance review, and manager sign-off
Low-stock, overdue-count, and forecast alerts tied to recent sales velocity
Inventory reports and depletion forecasts so you restock before the shelf is empty
Get your catalog in without retyping every line
Download a template, fill in products and prices, and upload CSV or Excel. Matching item codes update what you already have; new codes create products. Add a location and quantity on a row to set starting stock in the same pass.
Clean product photos without a design pass
Upload a phone photo and GreenSails polishes it for the catalog, POS tiles, and display boards. On Sailor and above, background removal is on by default. Turn it off for a category or item when the backdrop should stay.
Barcodes that match how you stock the shelf
Save the digits on a package or invent a short house code. Print a browser sheet from the dashboard, or send sticky labels to an online POS with a paired printer. Cashiers scan at search to add the line.
Combos that keep the stock room honest
Ring a bundle as one line. GreenSails removes each component from on-hand at that location. No separate picks, no guessing which parts left the shelf.
Order, receive, and bill from one thread
Build a purchase order from a supplier's prices, check stock in when the truck arrives, and open a vendor bill for what they charged. No copying the same lines into another spreadsheet.
Counts and alerts that match the floor
Capture a snapshot, open a count session on the register or dashboard, review variance, and close with a clear audit trail. Alerts fire when stock drifts, counts run late, or sales say you will run out soon.
Works well with
Point of sale
Main registers and floor devices share one catalog and one open-order list. Sell through brief internet drops.
Invoices & billing
Quotes, invoices, and purchase orders use the same customers and catalog as your registers.
Reports
Busy hours, payment mix, and top sellers refresh as orders close. No overnight spreadsheet export.
